Terms and conditions

1.1 The right of participation to Business on Board program applies to any type of company with legal entities of every form. It is clarified that Travel agencies and individuals cannot participate in the program.

1.2 Registration to the Program can be accomplished via internet by filling the registration form at https://www.olympicair.com/en/business-on-board/.

1.3 During the registration to the Program, the company should register the exact company name, together with the VAT number. Every company has the right to register exclusively with one e-mail address.

1.4 Acceptance of the Program's terms and conditions is a necessary requirement to register at the Program. By completing, signing, and sending the application, it is automatically presumed that the company unconditionally accepts the Program's terms and conditions.

1.5 Each Company's Business on Board account is unique. The administration of the account can be managed by the company's employee in charge and/or by the authorized Travel Agency that will have access to the account, based on the company’s consent. The travel agency’s access is limited to the specific functionalities required to fulfill the services of the BOB loyalty program.

1.6 The ΡΙΝ number which provides access to each company's account through Aegean or Olympic Air websites, should remain confidential, in order to ensure the authorized access to the account.

1.7 Aegean and Olympic Air maintain the right to annul or modify at their own private discretion, anytime and with no previous notice the Program's terms and conditions, as they are mentioned in this document. A Company's participation in the Program after the publication of the new terms and conditions implies its unconditional acceptance.

1.7.2 Aegean and Olympic Air also reserve the right to remove any participating travel agency from the Program without prior notice, in cases of non-compliance with the Program's terms.

1.8 Any change on company's information should be notified to Business on Board department either by dialing +30 210 6261210 Monday – Friday 11:00 a.m. -15:00p.m. , or through the official site of Aegean by clicking here or Olympic Air by clicking here in order for a company's account to be updated. Aegean and Olympic Air bear no responsibility in case of damage that may be caused on a Company's account by a third party, due to wrong or inaccurate statement of the company's information.

1.9 Aegean and Olympic Air have the right to reject any request for a company's registration at their own and absolute discretion.

1.10 Aegean and Olympic Air have the right to discontinue or cancel Business on Board at their own and absolute discretion at any time without any further obligation towards the companies.

1.11 In case the Company wishes to discontinue its participation to the Business on Board Program, a written notification should be sent. After the request has been processed, the company's account and respective Business Points will be cancelled by default. It is clarified that the personal Miles & Bonus membership cards remain as is.

1.12 A Member's account and its respective Business Points will be cancelled with immediate effect in cases of the company’s dissolution, liquidation, bankruptcy, buy-out, merger or any similar situation.

1.13 The Business on Board department operates Monday to Friday, contact by phone from 11:00 a.m. to 15:00 p.m. and by email from 09:00 to 17:00 and is exclusively responsible for customer service of Business on Board members, concerning points redemption, administration of Business on Board account, issues and changes of award tickets, missing points requests, company information changes, general information about the accounts of Business on Board Members.

1.14 The submission of any request concerning a member's account (points redemption for seat upgrade, changes in award tickets, and change of personal data etc.) can be submitted electronically 24hrs through the official site of Aegean or Olympic Air or by dialing +30 210 62 61 210, from Monday to Friday from 11:00 a.m. to 15:00 p.m. It is clarified that the requests will be processed during the operating hours of the Business on Board department.

2.1 Business on Board assigns a unique account number to every partner company for managing the account. Aegean and Olympic Air bear no responsibility in case of incorrect use of the account. The company is in position to monitor the account statement by logging in, using the unique account number as well as the PIN, through the official site of Aegean by clicking here or Olympic Air by clicking here.

3.1 Points accrued in the accounts of member companies are considered as Business Points.
3.2 Business Points are those that can be redeemed by the member Company in tickets on any flight operated both by Aegean and Olympic Air.
3.3 It is clarified that the business points that have been accumulated during the period of one (1) year can be redeemed within a period of another 12 months after the completion of the running year, by which time the points will expire.

4.1 The duration of the Company's participation to the Business on Board program is one (1) year from the registration date. In case no flight transaction has been recorded, then the account of the Company as well as its Business Points will be automatically cancelled.

4.2 Business Points can be accumulated exclusively on flights operated by AEGEAN and Olympic Air.

4.3 Points cannot be accumulated on codeshare flights operated in cooperation with AEGEAN and Olympic Air partner airlines.

4.4 Business Points will be credited to the accounts of each company, based on the ticket net value, without including the taxes and extra charges.

4.5 A prerequisite for points crediting to the company’s account is the registration of the unique Business on Board code at the time of ticket issuance. The total value of transactions recorded under the company’s account is subsequently converted into points, in accordance with the ratio published on aegeanair.com and olympicair.com. The points ratio increases with the amount spent on Aegean and Olympic Air tickets.

4.6 The Business on Board account is valid for one (1) year (twelve [12] months) from the date of registration to the program. During this initial twelve-month period, the points accrual ratio is increased, as specified on the table at aegeanair.com and olympicair.com tables. After the expiration of the twelve (12)-month period, the points accrual ratio reverts to the standard rate (1:1), and the company’s eligible euro expenditure is reset to zero.

4.7 A Company Member is obliged to report its membership account number to the travel agency or to Aegean and Olympic Air during the ticket issuance.

4.8 A necessary requirement for crediting points to a company's account is the completion of a flight.

4.9 Business Points will be added to the Company account, during the next 2 weeks after flight completion.

4.10 The Company is obliged to keep its ticket receipts, until the relevant points appear to its account.

4.11Retroactive crediting of points to the Company’s account is permitted strictly within two (2) months after the flight date. The process must be completed online, provided that the Company has logged into its account and submitted the retroactive points claim form. It is expressly clarified that flights operated prior to the Company’s registration in the Program are not eligible for retroactive credit.

5.1 Business Points can be redeemed for tickets on any flight operated by Aegean and Olympic Air.

5.2 Redemption of Business Points may occur at any time during the validity year, provided that the Company’s account has accumulated a sufficient balance of points. Euro expenditure continues to be counted cumulatively throughout the validity period, irrespective of redemptions.

5.3 The reservation process, as well as ticket issuance, is conducted exclusively online.

5.4 Points can be redeemed in award tickets under the name of any person suggested by the company member. It is clarified that children (2-11 years) and infants (under 2 years) are not eligible for redemption requests.

5.5 The general availability of seats in other fare categories does not necessarily mean the supply of an award ticket.

5.6. Points redemption is done according to the table published at aegeanair.com and olympicair.com.

5.7. Award tickets are issued only on confirmed seats and are not issued with open dates.

5.8. Taxes, additional premiums and various charges related to the issuance of a ticket should be paid by the Member. The exact charges applicable to the passengers will be communicated by the Business on Board department prior to ticket issuance.

5.9. Award Tickets are official travel documents and are subject to the same terms & conditions and requirements of the tickets issued at a normal fare.

5.10 Only the flight dates and times of an award ticket can be changed with an extra charge of 23 Euro, through the Business on Board department (via email or by phone 11:00 to 15:00 during working days). Change of route or name in the ticket is not permitted. Cancellations or changes are permitted only during the official operating days and hours of the Business on Board department.

5.11 In case the award ticket is cancelled, Business Points are not returned to the Company's account.

5.12 Ticket redemption occurs based on the flight’s availability.

6.1. The Business on Board account must have an adequate number of award Points in order to exchange them for a redemption of a Seat Upgrade, in accordance with the applicable Seat Upgrade charts, as published on the official Aegean or Olympic Air websites, specifically in the Business on Board section, "How to redeem".

6.2. The Seat Upgrade shall be issued for any direct destination, either domestic or international, within the Aegean and Olympic Air scheduled flights network. In the case of connecting flights, all segments should be upgraded.

6.3. The original ticket must be issued, under the Flex fare category, in order to be eligible for Seat Upgrade.

6.4. To redeem points for a Seat Upgrade, the Company must either contact the Business on Board department or submit the corresponding online request form by logging into its Business on Board account.

6.5. The Seat Upgrade is offered only on flights where Business class is available, while online requests must be submitted up to 3 working days prior the departure of the requested flight.

6.6. The traveler receives travel/service benefits based on business class, e.g. check-in counters, priority baggage, baggage allowance, lounge access, etc.

6.7. Points' accrual is:

i) applicable, according to the fare purchased (in Economy Class), not the flown,

ii) credited as per Chapter 4 reference herein (Points Accrual).

6.8. Seat Upgrade is subject to availability. Both Aegean and Olympic Air may limit or exclude the availability of seats exchangeable with Points on a particular flight and/or per period, and/or per destinations. General seat availability does not necessarily imply that a Seat Upgrade will be provided by redeeming Points in accordance with the Program. Waiting list is not permitted.

6.9. Points can be redeemed for Seat Upgrade under the name of any person indicated by the company member. It is clarified that children (2-11 years) and infants (under 2 years) are not eligible for redemption requests.

6.10. Seat Upgrade will be issued on a "seat confirmed" basis, when Aegean and Olympic Air are the validating carriers (stock number 390 or 050).

6.11. Seat Upgrade cannot be issued on an "open" basis, namely with an open departure and/or return date.

6.12. It is clarified that any difference - between the initially purchased Ticket and the upgraded ticket - in taxes, airport duties, A.I.A. (Athens International Airport) charges, insurance surcharges, as well as any additional charge or fee (all together hereinafter "Charges") imposed by any Public Authority, is due by the Member. The difference in the Charges is paid by the Member upon the issuance of the Seat Upgrade.

CHANGES

6.13. No change of passenger name or destination will be accepted following the Seat Upgrade issuance.

6.14. Change of Seat Upgrade ticket is permitted only on date and time, at a re-issue fee of 23 Euro per ticket, by contacting Aegean's Call Center at 801 11 20000 (from a fixed landline) or at (+30) 210 6261000 (from a mobile phone or from abroad), available 24 hours a day, seven days a week.

6.15. In the event that a Seat Upgrade coupon has not been used, it shall remain valid for one (1) year from the date of issuance. Re-issuance of the coupon is available through AEGEAN’s Call Center at 801 11 20000 (from a fixed landline within Greece) or (+30) 210 6261000 (from a mobile phone or from abroad), available 24/7. A re-issuance fee of twenty-three (23) Euro per ticket applies.

6.16. In case of involuntary change (responsibility of Aegean or Olympic Air), points are credited back to the Company's account in full (Ticket Change Policy and rules will apply).

CANCELLATIONS

6.17. In case of cancellation, points are not credited back to the Company's accounts (Ticket Change Policy and rules will apply).

6.18. In case of involuntary cancellation (responsibility of Aegean or Olympic Air) points are credited back to the Company's account in full (Ticket Change Policy and rules will apply).

6.19. In case Seat Upgrade is confirmed, downgrade is not allowed and materialization of the trip in economy class is not permitted.

7.1 The Business on Board account must have an adequate number of award Points in order to exchange them for a Promo Code, in accordance with the applicable charts, as published on the official AEGEAN or Olympic Air websites, specifically in the Business on Board section, "How to redeem".

7.2 The redemption of Business points can be realized for Promo codes for flights and additional services (Extra baggage, Seat selection, Security fast track).

7.3 The coupon number is the Promo code you can use to benefit for a discount on the purchase of a ticket or for the purchase of an additional service.

7.4 The Promo code is valid for 12 months after the coupon issuance.

7.5 The Promo code is valid for bookings that include only domestic and/or international flights operated exclusively by the AEGEAN and Olympic Air network. All codeshare flights are excluded.

7.6 The Promo code is valid only for bookings through aegeanair.com, olympicair.com and the AEGEAN app.

7.7 The Promo code must be entered during the booking process in order for the discount to apply.

7.8 The Promo code cannot be used when redeeming points to buy a ticket.

7.9 The Promo code is valid for transactions in euros (€).

7.10 The Promo code can be used by any user who has the coupon number in his possession.

7.11 Only one Promo code can be used in each booking.

7.12 The Promo code can only be used once.

7.13 The Promo code cannot be exchanged for cash.

7.14 In case of flight cancellation, from the passenger, the Promo code is not refundable.

8.1 The employees of the Company-member of the Business on Board program can accumulate Status and Award miles on their own personal Miles & Bonus cards. These memberships are under the Terms & Conditions of Miles & Bonus, which have been published both on Aegean and Olympic Air websites. For further information please visit the official site of Aegean or Olympic Air or call on +30 210 62 61 210. In case the company's account has been expired, the personal accounts of the employees are remaining active.

9.1 Aegean and Olympic Air collect and process the company's member's information on the basis of their exclusive consent and of the company’s legitimate interest, in accordance with the current Legislation.

9.2 A company member acknowledges that by activating the account, the personal information may be forwarded by Olympic Air / AEGEAN to affiliated companies or to the Program's offer providers for the efficient operation BOB loyalty program.

9.3 The consent can be recalled by the member company or the authorized travel agency by sending a written request at dpo@aegeanair.com.

Besides the above:

10.1 Aegean and Olympic Air bear no liability for any kind of damage direct, indirect or consequential, suffered by a Member or a third party, caused due to participation in the Program, including its use and application. The company's potential liability is strictly limited to the company member's account credit with points and up to the number of points the company member had accumulated prior to the damaging event.

10.2 In case of invoking any damage, including loss or delay, using third party offers, through the Program, the third party providing the offer is exclusively responsible.

10.3 Aegean and Olympic Air are not responsible for any mistakes or oversights of the present text or any of the Program's brochures, informative or otherwise caused by the publication or by the printing of those texts.

10.4 Athens's court is the appropriate forum for any potential dispute resolution arising from the participation in the Program and/or the interpretation of the present Terms and Conditions. These Terms and Conditions are governed and interpreted under Greek law that is the applicable law hereunder.
